Registration Confidentiality Agreement
To keep the Registration process fair and safe, everyone involved is bound by Tuia Pito Ora NZILA’s Code of Conduct, which includes strict confidentiality obligations. No separate confidentiality form is required.
Who this applies to
- Registration Panel members and observers
- Mentors and Group Mentors
- Sponsors and proposers
- Branch representatives assisting workshops
- NZILA staff and contractors
- Any external experts engaged for the process
What confidentiality means here
By taking part in Registration activities you agree to:
- Protect all confidential information about candidates, projects, clients, employers and contractors, including names and any identifying details.
- Use the information only for Registration purposes, not for personal, commercial or competitive advantage.
- Store material securely (for example: password-protected files, no forwarding to personal email, no open file-sharing).
- Limit copying and printing. If you must print, keep documents secure and destroy them after use.
- Delete electronic copies after the interview cycle or when NZILA asks you to.
- Discuss candidates only within the process (Panel meetings, formal workshops or with NZILA staff), not with colleagues, clients or on social media.
Fairness and respect
All participants uphold the Code of Conduct, including:
- Acting with integrity, courtesy and manaakitanga.
- Being alert to bias and declaring any perceived or actual conflicts of interest.
- Following NZILA guidance on tikanga and Te Tiriti contexts where relevant.
Conflicts of interest
Tell NZILA as soon as you become aware of a conflict, for example:
- You supervise, are supervised by, or are in a close personal relationship with a candidate.
- You or your firm have a current commercial conflict related to a candidate or their projects.
NZILA will manage the conflict (recusal from parts of assessment, reassignment, or other steps).
Breaches and concerns
Possible breaches may lead to removal from the role and referral under NZILA’s complaints and disciplinary processes. If you are unsure about a situation, ask before acting.

Please feel free to use the below in setting any appointments throughout the registration programme.
Acknowledgement: “By accepting this invitation you confirm that you have read and will comply with the NZILA Code of Conduct and the Registration confidentiality requirements on the NZILA website. You will keep all candidate, project and employer information confidential and use it only for Registration purposes.”
